This role is pivotal in ensuring the smooth operation of the Sales Manager’s day-to-day responsibilities, including managing a dynamic schedule, streamlining communications, and contributing to the efficiency of sales operations.Calendar ManagementOther responsibilities and duties: Schedule and manage the Sales Manager’s calendar, ensuring optimal time allocation.Book internal meetings, including one-on-one sessions, and assist with setting agendas.Communication ManagementManage the Sales Manager’s inbox, prioritize emails, and ensure timely responses.Coordinate with internal and external stakeholders on behalf of the Sales Manager.Travel ArrangementsBook flights, trains, and accommodations as needed.Ensure all travel plans align with business commitments.Meeting SupportSchedule and attend meetings to take minutes, distribute notes, and follow up on action points.Sales SupportAssist with reporting in HubSpot CRM, ensuring accurate and up-to-date data.Prepare quotes for capital machinery, draft proposals and presentations, and follow up on email communications.Provide support with sales documentation and client correspondence.Administrative TasksOrganize and prioritize tasks to enhance the Sales Manager’s productivity.Perform ad hoc administrative duties as required.QualificationsProven experience as an Executive Assistant, preferably in sales or a related field.Proficiency in HubSpot CRM or similar sales tools.Strong organizational skills with the ability to manage multiple priorities.Excellent written and verbal communication skills.Experience in sales, including quoting and client proposals (preferred).Tech-savvy with a good command of productivity software (e.g., MS Office, Google Suite).Discretion and professionalism when handling sensitive information.Ability to work UK business hours.Proactive and resourceful problem solver.Strong attention to detail.Collaborative and adaptable team playerWhy join optiBPO?optiBPO is an exciting workplace where you will be surrounded by smart, talented, and motivated professionals that supports clients across Australia, New Zealand, United States, Canada, United Kingdom, and Europe. optiBPO helps clients in planning, building, and managing dedicated offshoring teams in the Philippines.Enjoy great perks and benefits such as in-house medical team and HMO coverage.
