If you're looking for purpose, progression, and a place where your ideas matter, then this is it. About the role   If you are looking for a role where you can make your mark and grow, this could be your dream role.  The two leaders of the BlueRock Digital division are looking for a commercially focused Executive Assistant to assist them in team organisation, business planning, and growth. Your focus will be keeping on top of the strategic initiatives of the division, alleviating resourcing and financial blocks preventing progress, supporting with administrative challenges, and making room for growth.  You'll collaborate with a team of experts, backed by a full suite of professional services, to deliver commercial outcomes that go beyond marketing. And yes, free lunches, gym allowance, and a certified Great Place to Work culture are all part of the package. What you'll be doing    Diary & inbox management: manage director calendars, schedule meetings, prioritise emails, and triage requests. Meeting briefs & minutes: prepare pre-read briefs, agendas and take clear minutes with actions and owners. New business support: attend discovery meetings, capture notes, follow up on actions, communicate with prospects, send capability decks, handle referrals, and develop draft proposals. Events: attend networking events and conferences, and support organising of events. Team Meetings: organise division meetings and celebrations, and organise divisional updates for firm wide meetings to be presented by directors. Proposal & deck preparation: creation of internal and external facing collateral.  CRM maintenance: update pipeline stages, log meeting notes, upload proposals and manage contact records in HubSpot. Invoices & payments: issue invoices, follow up on overdue payments and reconcile receipts. Supplier & vendor management: source and manage suppliers, track deliverables and approve invoices with relevant stakeholders. P&L & margin support: pull basic project revenue reports, prepare P&L snapshots, assist with month-end reconciliations, and expenses   Resource scheduling & capacity: stay on top of team capacity, timesheets, follow-up with the team on weekly planning rituals, flag resource constraints, and send weekly reports. Process & SOP ownership: follow up with team on SOP updating and acceptance  Project administration: enter project timings into task management platforms, track timelines and milestones, and update timelines and relevant reams accordingly  Client facing notes & communication: confidently represent the agency in meetings, send professional follow-ups and maintain relationships. Marketing support: produce marketing reports for the division, follow up relevant team members on marketing activities such as blog articles and video content, produce case studies and client testimonials.  Adhoc executive support: handle confidential tasks, adhoc research, presentations and board/client pack prep. RequirementsWe want to hear from people who have:     1-2 years in an Executive Assistant, team co-ordinator, operations or agency support role Basic commercial acumen and experience with profit and loss statements and accounting software  Basic experience using CRM platforms Experience using project and task planning tools Excellent written notes, strong communication skills, clientfacing confidence, highly organised, proactive and processminded. BenefitsOur people love to work for us, here's why!We believe in work-life integration and offer a hybrid model that includes both in-office and remote work options.
