With customized itineraries for families and couples alike, we can’t wait for you to experience “Pura Vida” at Peninsula Papagayo.About The RoleThe Spa Coordinator/Receptionist serves as the first point of contact for guests,ensuring a warm, professional, and seamless experience from booking tocheckout. This role requires exceptional organizational skills, a guest-centricapproach, and the ability to multitask in a dynamic environment. The SpaCoordinator/Receptionist is responsible for handling appointments, assistingwith retail sales, maintaining reception and spa areas, and coordinating withvarious departments to ensure Four Seasons' standards of service are upheld.What You Will DoGuest Service Welcome and consult with guests about services, amenities, and spafacilities. Set and coordinate appointments, ensuring accuracy and alignmentwith guest preferences. Provide recommendations and assist with retail sales tailored to guestneeds. Anticipate guest needs, resolve issues promptly, and ensure amemorable experience. Handle telephone and email inquiries according to Four Seasons' servicestandards.Operations & Coordination Manage spa booking systems, ensuring reservations are accurate andoptimized for productivity. Maintain communication logs and update staff on changes to bookingsor tasks. Assist therapists and attendants with operational needs, ensuring smoothservice delivery. Monitor guest areas (locker rooms, fitness areas, relaxation rooms) hourly,ensuring cleanliness and functionality.Administrative & POS Management Process payments, gratuities, and service vouchers accurately. Prepare daily accounting reports and resolve any discrepancies invouchers or payments. Assist with gift certificate processing and ensure proper handling of cashand bank balances.Retail Management Maintain product knowledge and assist guests with retail purchases. Restock, price, and display retail products, keeping the area clean andorganized. Participate in monthly and quarterly retail inventories, ensuring accuracyand accountability. Monitor packaging stock levels and notify management whenreplenishment is needed.Reception Desk Responsibilities Maintain a neat, organized, and professional reception area. Update forms, reference materials, and guest collateral as required. Manage supply requisitions and restocking efficiently. Follow Four Seasons’ standards for handling emails, telephone calls, andcomputerized systems. Perform mathematical calculations as needed for transactions andreporting.Interdepartmental Coordination Communicate effectively in English (or other applicable languages). Work closely with engineering to address any maintenance issuespromptly. Collaborate with housekeeping to maintain a clean, fresh, andwelcoming environment. Notify security promptly of any accidents, injuries, or safety concerns. Handle lost and found items appropriately, ensuring guest belongingsare returned.What You Bring Reading, writing, and oral proficiency in English; additional languagesare a plus. Excellent communication and organizational skills, with the ability toprioritize in a busy environment. Previous experience in a similar role (2 years preferred) within a luxuryspa or hospitality setting. Knowledge of spa software systems and hotel interface programs suchas Book4Time, Opera, and HotSOS, preferably. Proficiency in Microsoft Office (Word and Excel) and Canva. High grooming standards, a genuine smile, and a professionaldemeanour.
