POSITION SPECIFICSPenn State Human Resources is looking for a detail-oriented, customer-focused individual to join their Absence Management (AM) team. The Absence Management Assistant provides administrative and operational support to the AM team with a focus on workers’ compensation, leave of absence coordination, and benefits billing. This role works closely with employees, insurance providers, healthcare panel providers, and payroll to ensure timely and accurate handling of claims, benefits, and employee records.The responsibilities for this position include, but are not limited to:Handle incoming workers’ compensation claims, including processing paperwork, coordinating with insurance companies, handling billing, and facilitating communication between employees and occupational health/panel providers.Prepare and submit wage statements to insurance companies to ensure proper calculation of employee lost wages.Process workers’ compensation reimbursement checks and coordinate with payroll for accurate posting.Process checks and payments received from employees for benefit premiums while on leave, working directly with payroll to apply them appropriately.Oversee benefit billing for employees on leave of absence, collaborating with payroll to maintain accurate records.End intermittent leaves and send reminders of upcoming leave expirations, including distributing new FMLA paperwork when required.Perform data entry, filing, and other HR administrative tasks as needed.Provide responsive support to employees, insurance representatives, and internal departments regarding HR-related inquiries.This position offers a flexible work arrangement that combines remote and on-campus work. Questions related to flexible work should be directed to the hiring manager during the interview process.The ideal candidate will possess strong customer service and communication skills, both oral and written, professionalism, accuracy and attention to detail, and be capable of working independently, as well as collaboratively in a team environment. A high level of organization and problem-solving ability is essential, along with the capacity to manage multiple priorities and meet deadlines. The successful candidate must exercise a high degree of sensitivity when handling confidential information. Proficiency in Office 365 Suite (Teams, Outlook, Word, Excel, Power Point) is preferred along with the ability to learn and utilize new technologies efficiently. Knowledge and understanding of human resources and payroll policies, Workday, and HR case management ticket system is preferred.Minimum Education, Work Experience & Required CertificationsGeneral Equivalency Diploma (GED) or High School (HS) 2+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: NoneBACKGROUND CHECKS/CLEARANCESEmployment with the University will require successful completion of background check(s) in accordance with University policies.Penn State does not sponsor or take over sponsorship of a staff employment Visa.
