A leading global investment firm is seeking a proactive and highly organized Office Manager/Administrative Assistant to support a dynamic team and help oversee daily office operations. This individual will play an integral role in keeping the office running smoothly, managing administrative tasks, and contributing to a professional, efficient, and welcoming environment.Key Responsibilities:Department Support: Provide comprehensive administrative support to the infrastructure team and other colleagues, ensuring smooth coordination across departments.Meeting Coordination: Schedule and organize meetings, manage conference room bookings, and prepare materials as needed.Expense Management: Create and process expense reports for the team, including VPM expense bookings, and ensure timely submission and accuracy.Vendor Administration: Partner with Accounts Payable to set up new vendors and maintain up-to-date vendor records.Team Logistics: Track PTO, travel schedules, and related business activities for team members.Office Operations: Log guest names in building security, greet visitors, and ensure a professional office experience.Mail & Deliveries: Receive deliveries, distribute mail, and promptly notify appropriate personnel when packages arrive.Facilities & Inventory: Assist the facilities manager with maintaining office and kitchen supplies, restocking as needed to keep operations running smoothly.Qualifications:4+ years of administrative and office management experience in a professional services environment.Bachelor’s degree preferred.Strong organizational and problem-solving skills with meticulous attention to detail.Excellent written and verbal communication abilities.Proficiency in Microsoft Office Suite and general administrative tools.Professional, dependable, and comfortable managing multiple priorities with minimal supervision.A proactive team player who demonstrates sound judgment, discretion, and a strong sense of accountability.Who You Are:You’re someone who takes pride in creating order, supporting others, and keeping operations running efficiently.
