Administration Assistant - Chief Engineer

For over 40 years, we’ve delivered critical services including aerial firefighting, heavy lifting, and emergency response across Australia, Europe, and the USA.Based across our Cooroy and Sunshine Coast Airport facilities, we’re seeking an organised and proactive Engineering Support to provide vital administrative and coordination support to our Chief Engineer. You’ll help ensure the smooth day-to-day running of projects, meetings, and reporting across our bases in Australia and internationally.The RoleWorking closely with the Chief Engineer and department leads, you’ll: Prepare meeting agendas, take minutes, and follow up on action items. Track and manage engineering quotes, purchase orders, and supplier communications. Maintain schedules, diaries, and deadlines for engineering projects. Monitor progress on allocated tasks and ensure accountability among team members. Coordinate and assist with project documentation and reporting. Support social media updates for the Engineering department. Assist with distributing safety bulletins, memos, and policy updates to all bases. Assist with payroll queries where required. Help provide support for international bases, including contracts and internal reports.What You’ll Bring Proven experience in administration or project coordination (engineering or aviation preferred). Excellent organisational and time management skills. Strong communication and follow-up abilities. Proficiency with Microsoft Office, Teams, and SharePoint. Ability to work independently and manage competing priorities.
