Executive Assistant (COO Potential | Remote | US EST)Location: Remote (US EST Hours)Employment Type: Full-TimeAbout the RoleWe’re looking for a sharp, proactive, and business-minded Administrative Assistant / Executive Support professionalwho can seamlessly manage daily operations while showing the drive and leadership potential to grow into a COO-level role.You’ll be supporting the executive team across business operations, client communication, compliance coordination, and business development initiatives. This role is ideal for someone who thrives in a fast-paced, global, and entrepreneurial environment and is eager to take on strategic responsibility over time.Key ResponsibilitiesProvide high-level executive support to leadership (CEO, COO, and Directors), including scheduling, coordination, and project follow-up.Manage day-to-day administrative tasks while proactively identifying areas for operational improvement.Support business development efforts, including cold outreach and client engagement, particularly with medical device, MedTech, or regulated industry clients.Coordinate with regulatory bodies and oversee documentation and compliance workflows.Assist in preparing presentations, reports, and proposals for internal and client meetings.Maintain CRM records, organize communication, and track outreach performance.Help build and optimize internal workflows, ensuring smooth business operations across teams.Work closely with leadership on strategic projects and long-term business planning.Requirements3–5+ years of experience as an Executive Assistant, Administrative Coordinator, or Operations Associate, preferably supporting senior leadership.Experience with business development or outreach, especially in medical, healthcare, or technology-driven B2B environments.Strong organizational, communication, and multitasking skills.Proficiency with Google Workspace / Microsoft Office, and experience using CRM tools (HubSpot, Salesforce, or similar).Exposure to compliance, documentation, or regulatory workflows is a strong plus.Able to work independently and manage priorities remotely in a fast-paced setting.Comfortable working during US Eastern Time (EST) hours.Personality FitSharp, detail-oriented, and self-driven with strong business instincts.Learns quickly and thrives on taking initiative and ownership.Professional, reliable, and proactive communicator.Ambitious mindset with a genuine interest in evolving into a leadership / COO position over time.What You’ll GainDirect exposure to executive-level operations and decision-making.Opportunity to grow into a COO or senior operations leadership role.Hands-on experience across business development, compliance, and operational strategy.A remote, collaborative, and fast-paced work culture focused on growth and impact.
