Apply now.A Brief Summary Of This PositionWe are looking for a detail-oriented and proactive Junior HR Admin Executive to support both Human Resources and Administrative functions within our Shared Services team. This role is split equally between HR responsibilities and administrative support, ensuring smooth operations and positive employee experience. The ideal candidate is organized, service-oriented, and able to manage multiple tasks efficiently.Essential FunctionsHuman Resources (50%)Employee Engagement & SupportPlan and coordinate employee engagement activities with the PEC committee.Manage logistics and purchasing for engagement initiatives.Promote and support participation in the Employee Assistance Program (EAP).Respond to employee enquiries related to benefits, working arrangements, and general HR support.HR SystemsAssist in preparing and updating data for Workday.Audit and maintain accurate employee records in Workday.Recruitment AdministrationSupport recruitment processes including job postings, interview scheduling, candidate status updates, reference checks, and medical screenings.Learning & DevelopmentOrganize and facilitate monthly “Lunch and Learn” sessions to promote continuous learning.HRDF Grant claim processing for team building and all trainings.Internal CommunicationsUpdate and maintain the “VCSS Community” SharePoint site.Coordinate and contribute to the monthly internal newsletter.Cascade company updates from corporate and office (IGB) via email or Zoom (VCSS Communication)Compliance & Statutory LiaisonLiaise with statutory bodies and government agencies on HR-related matters.Ensure compliance with local labour laws and reporting requirements.Administrative Support (50%)Office AdministrationCoordinate travel arrangements for employees and visitors.Monitor “Report to Office” compliance and conduct quarterly audits.Manage documentation for Work From Home requests.Provide general office administrative support including supplies management, meeting room bookings, and vendor coordination.Manage all incoming and outgoing mails or courier services. Management of company physical mailbox.Handle incoming calls from external parties. Address enquiries from calls and route to the correct PIC.Engagement with Building management on defects, access cards, parking card, working permit for vendor and other related matters.Statutory & Government Liaison (Admin)Liaise with government agencies on administrative matters such as office licensing, permits, and compliance documentation.Required Qualifications of Every Candidate (Education, Experience, Knowledge, Skills and Abilities):Diploma or Degree in Human Resources, Business Administration, or related field.3 to 4 years of experience in HR or administrative roles preferred.Familiarity with HRIS systems (Workday, ADP) is an advantage.Strong organizational, communication, and multitasking skills.Proficient in Microsoft Office and SharePoint.Able to work independently and collaboratively in a fast-paced environment.Valmont does not discriminate against any employee or applicant in employment opportunities or practices on the basis of race, color, religion, sex, sexual orientation, gender identity, national origin, age, genetic information, veteran status, disability or any other characteristic protected by law.
