We pride ourselves on exceptional client experiences and a vibrant, professional workplace culture.As an Office Assistant, you play a key role in maintaining our center at five-star standards and supporting both Cloud Spaces operations and clients. You will ensure smooth day-to-day operations, provide outstanding client service, and assist in creating a welcoming, professional environment.Key ResponsibilitiesDaily Operations & AdministrationOpen and prepare meeting rooms, boardrooms, and studios for client bookings.Set up beverage stations, catering, and ensure floor presentation is impeccable.Manage mail, deliveries, courier services, and office supplies.Monitor equipment (photocopiers, AV systems, video conferencing) and report maintenance issues.Support events and client activities as needed.Assist with office moves, furniture arrangements, and space setups.Follow all operational procedures and maintain security protocols, including key management.Client Service ExcellenceProvide friendly, professional, and proactive client support.Respond to client queries promptly and maintain confidentiality at all times.Offer solutions, anticipate client needs, and ensure a high level of satisfaction.Relieve reception when needed: answer calls, greet visitors, and manage leads professionally.Systems & TechnologyUtilize and maintain Cloud Spaces systems including: Essensys/OPERATE, Cloud Spaces Portal/App, Cisco IP Phones, IMAGICLE, and AV equipment.Ensure accurate use of systems for bookings, client setup, and reporting.Key Attributes & SkillsPositive, enthusiastic, and confident with a professional appearance.Excellent communication skills, both verbal and written.Strong customer service focus with a proactive, solution-oriented mindset.Attention to detail, good work ethics, and the ability to follow procedures.Flexible, adaptable, and able to handle varying daily tasks.Team player with a professional, approachable attitude.Qualifications & ExperiencePrior experience in an office, administrative, or client-facing role preferred.Knowledge of office systems and standard software (MS Office, CRM, telephony systems) a plus.High school diploma required; further education or certifications in administration is an advantage.Personal Qualities & GrowthProfessional grooming and attitude suitable for a premium workspace environment.Honest, reliable, and willing to learn.Positive energy, enthusiasm, and a “can-do” attitude.Growth opportunities based on performance and demonstrated strengths.Join Cloud Spaces and be part of a dynamic team where your contribution ensures an exceptional experience for our clients while helping you grow professionally in a supportive, inspiring workplace.
