Job OverviewWhalefilm is seeking a highly organized and detail-oriented Project Manager to oversee millwork and scenic fabrication scopes across large-scale, contractor-driven projects. The ideal candidate has extensive experience managing complex, design-forward fabrication packages from concept through installation — balancing creative intent, schedule, budget, and quality while coordinating with general contractors, architects, and client teams in fast-paced construction environments.Key ResponsibilitiesManage all phases of project execution from award through installation, ensuring alignment between creative vision, technical feasibility, and construction realities.Serve as the primary liaison between client, general contractor, and Whalefilm internal teams — maintaining clear communication, expectations, and deliverables.Coordinate day-to-day activities across design, engineering, fabrication, and field installation teams.Oversee project budgets, schedules, RFIs, submittals, and change orders, ensuring accurate forecasting and timely reporting.Collaborate with internal design and fabrication departments to translate creative concepts into buildable, cost-efficient solutions that meet technical and aesthetic standards.Manage subcontractors and vendors from procurement through final quality checks.Lead QA/QC processes, including shop inspections, material verification, and punch-list closeout.Ensure safety compliance and adherence to company and site-specific standards.Facilitate coordination meetings, document action items, and track deliverables through completion.Support and mentor junior PMs and interns in project coordination, documentation, and field operations.Maintain comprehensive project documentation — drawings, meeting minutes, fabrication logs, and as-built records.Proactively identify and resolve issues that could impact cost, schedule, or quality.QualificationsExperience: Minimum 3 years of project management experience, preferably in large-scale millwork, scenic, or themed construction environments.Education: Bachelor’s degree in Construction Management, Architecture, Industrial Design, or related field.Technical Skills: Proficiency in project scheduling and management platforms (e.g., Smartsheet, Procore, MS Project) and working knowledge of BIM/VDC coordination and digital drawing management.Problem Solving: Strong analytical and decision-making skills with a proactive, solution-oriented mindset.Communication: Excellent written, verbal, and interpersonal skills, capable of managing multiple stakeholders in high-pressure environments.Preferred QualificationsPMP Certification or equivalent project management credential.10+ years of verifiable project management experience.Experience with Microsoft Project, Primavera P6, Procore, or comparable tools.Demonstrated ability to manage complex schedules and contractor-driven scopes.Physical & Travel RequirementsAbility to comfortably navigate both shop and field environments.Willingness to travel as required for site coordination, installation, or client meetings.Job Type: Full-TimeSchedule: Monday–Friday, 8-hour shifts, with weekend work as needed.Work Location: In person — Los Angeles, CA
