FPG Insurance has built an enviable reputation for developing customer insights that support the creation of relevant commercial and individual insurance products and solutions.Job Summary:The Executive Secretary provides dedicated administrative support to the Chief of Staff in carrying out the overall support requirements of the President & CEO. The role ensures the smooth execution of day-to-day tasks, coordination, and logistical needs, allowing the Chief of Staff to focus on strategic priorities and higher-level responsibilities. This position is critical in maintaining efficiency, accuracy, and timeliness in the CEO’s office operations.What you’ll do:Administrative & Clerical SupportAssist the Chief of Staff in managing the President & CEO’s calendar, meetings, and travel logistics.Handle routine correspondence, phone calls, and email coordination as assigned by the Chief of Staff.Maintain organized filing systems (physical and digital) to ensure accessibility of documents.Prepare and process expense reports, reimbursements, and related administrative paperwork.Operational & Logistical CoordinationSupport the preparation of meeting materials, presentations, and reports by consolidating inputs and ensuring completeness.Coordinate logistical arrangements for internal and external meetings, events, and engagements involving the CEO.Track and follow up on routine deadlines, recurring requirements, and regular submissions to ensure timeliness.Monitor and maintain office supplies, memberships, and subscriptions relevant to the Office of the CEO.Support to the Chief of StaffProvide day-to-day assistance to the Chief of Staff in implementing support for the President & CEO.Take on delegated administrative responsibilities to free up the Chief of Staff for more advanced tasks.Serve as a reliable partner in coordinating with internal teams and external stakeholders on routine matters.Uphold confidentiality, professionalism, and discretion in handling sensitive information.What you need to have:A bachelor’s degree in any business related courseAt least 2-3 years of experience as an Executive Assistant to a C suite executiveExcellent communication skills in both verbal and written English.Integrity and discretion to handle confidential information in a responsible mannerProficiency with Microsoft Office applications (Outlook, Word, Excel, Power Point), Other Office Tools, Teleconferencing, and social media platformsExcellent organization skills
