This position bridges the gap between strategy and daily operations — owning the learning, execution, testing, documentation, and training of new initiatives to ensure they are implemented effectively and sustainably.This role requires strong operational acumen, project management discipline, and the ability to train and empower cross-functional teams. It ensures that every new process designed by leadership is not only executed, but also measured, stabilized, and transitioned into Business-as-Usual (BAU) operations.Unlike a typical Project Specialist, this position carries broader ownership — building systems from the ground up, ensuring adoption across teams, and serving as a capability multiplier for the Operations and Marketing functions.Key Responsibilities1. Strategic ExecutionTranslate strategic initiatives and new business directions into actionable project plans with clear milestones, deliverables, and ownership.Lead the end-to-end learning, implementation, and testing of new systems, programs, or processes that improve efficiency, scalability, and team alignment.Pilot, test, and refine operational workflows before official rollout.Coordinate with internal teams (Marketing, Ops, Design, Sales, Tech) to ensure seamless execution across functions.2. Training & Capability BuildingDevelop training programs, documentation, and SOPs to onboard teams into new systems and workflows for multiple teams.Conduct regular training sessions and refreshers to build operational consistency and confidence within departments.Mentor and support team members during the transition phase of new projects, ensuring smooth adoption and accountability.3. Process Documentation & Systems BuildingPrepare templates, trackers, and dashboards for project monitoring and system execution.Maintain updated process documentation and ensure alignment with company-wide standards.Identify bottlenecks, propose system improvements, and implement scalable solutions. ‘Ensure procedures are robust, repeatable, and designed with future growth and handover in mind.4. Cross-Functional AlignmentServe as the support between strategic planning (Head of Ops) and execution (Brand Manager & Marketing teams).Provide regular progress reports, insights, and recommendations to leadership.Collaborate with the Head of Strategic Ops to align new systems with long-term organizational architecture and process scalability.5. Stabilization & HandoverOversee new systems until they achieve operational stability and measurable efficiency.Facilitate the smooth handover of stabilized systems to BAU teams, ensuring documentation and team understanding are complete.Support the Brand Manager in embedding new workflows into existing structures and monitor performance post-handover for continuous improvement.Provide feedback and continual improvement loops: revisit process design as needed, identify emerging issues, refine systems for sustained effectiveness.Key Results / Success IndicatorsNew systems and projects are executed on time, within scope, and aligned with business goals.Teams demonstrate full adoption, confidence, and consistency in applying new workflows.Measurable improvements in efficiency, coordination, and output quality.Reduced dependency on the Head of Ops and Marketing for repetitive execution tasks.Comprehensive and up-to-date documentation for all systems implemented.Qualifications4–6 years of experience in business operations, process implementation, or project management, preferably in e-commerce or marketing operations.Must have valid Philippine Passport.Proven ability to translate strategic direction into clear, executable operational systems.Exceptionally high attention to detail — must deliver clean, organized, and well-documented work at all times.Strong executor who can carry out management’s strategic intent accurately and independently, with minimal supervision.Highly organized, systematic, and committed to excellence in output quality.Skilled in training, documentation, and cross-functional communication.Proactive problem solver with a sense of ownership and accountability.Proficiency with project management tools (Asana, ClickUp, Notion, or equivalent).Experience in process optimization and data-driven decision-making is a strong advantage.Profile of an Ideal CandidateA builder who thrives on structure, clarity, and operational excellence.Equally skilled in execution and teaching — someone who can do, document, and train.Understands both operational discipline and creative flexibility.Acts as a force multiplier for leadership by converting strategies into tangible, sustainable results.Takes ownership and sees projects through from concept to stability.Must-Have Personal Assets (for remote/VA setup)Dedicated home office setup with a high-performance laptop/desktop.Stable high-speed internet connection (minimum 20 Mbps, with backup preferred).At minimum: Intel Core i5 (10th Gen or newer) / AMD Ryzen 5, 16 GB RAM, 512 GB storage.Benefits12 days annual leave (convertible to cash)Paid Philippine holidays (9 days a year)Birthday leaveBonuses & profit-sharing opportunitiesHMO coverage upon completion of probationLocal & international trips for team building and brand immersionContinuous learning: 4 hours of company-sponsored education weeklyStock option shares for long-term contributors
